Each state will have different requirements regarding record retention, while some may be silent. In addition, the governing documents of each HOA may dictate which records the HOA must maintain and for how long.

However, HOAs generally should maintain official records, including:

• Covenants, Conditions, and Restrictions (CC&Rs), bylaws, and rules and regulations
• Community map or plat
• Meeting minutes and notices
• Membership lists
• Copies of judgments, liens, and encumbrances
• Contracts and insurance policies
• Election and related documents
• Accounting and financial records
