How to Deal With Harassment from Owner

Question:

As the president of my volunteer board of directors, I receive text messages at all days and hours from the resident who lives in a unit owned by his family trust. The resident harasses about noise that no one else hears or reports.. I don’t block him to assure we have evidence. What is a good way to prohibit him from contacting me? I am desperate in SE Portland Oregon.

Answer:

Hi Dale,

First, it is important to reach out to the resident texting you and try to settle the issue directly with them. Explain the situation to them and ask them kindly to refrain from sending text messages. You may even redirect them to a different channel for complaints, such as email, or ask them to send their concerns to your community manager (if you have one).

Make sure to investigate their complaint as well and confirm that their complaint is unfounded. Document this, as it will help you cover your bases. From there, let them know your findings and, in a professional manner, inform them that they will be blocked from sending you text messages if they don’t stop. It’s best to do this in writing so that everything is well-documented. You may also want to seek help from a lawyer when crafting your letter, just to make sure you’re free from any potential liability.
