How can a board get work done, deliberate, collaborate, process Members’ inquiries in a timely manner, etc., if meeting together in between board meetings is a violation of the Open Meeting Act and Code of Virginia 55.1-1816? Our board is paralyzed with fear anything we say or do in an email group chat will get us in trouble! So we do it anyway in a state of dread and apprehension because no one, including our community manager, has figured out what we should be doing! How do we work? Do we become islands unto ourselves and save all our association business until the open board meeting for processing? Help! And thanks in advance.

A good idea would be to schedule your board meetings more frequently if you have a lot of association business to deal with. Perhaps twice a month or once a month is a good starting point. It takes some work, but notifying members appropriately is a requirement. And members have a right to be informed and attend the board meeting.
